Eventsona Reports & Exports: CSV Guides for Ops
Generate Eventsona reports and CSV exports for ticket sales, attendees, check-in, and finances—ready for UK ops, catering teams, and your accountant.
When to export
Dashboards are for decisions in motion. Exports are for catering counts, accountant folders, security sign-in sheets, and post-mortems. Eventsona reporting helps you pull those files without rebuilding spreadsheets by hand.
Step 1: Open Reports / export tools
From the organiser dashboard or event area, open Reports (or Export). Pick the event and date range before you download anything.
Step 2: Export what operations need
- Orders / sales: Who bought which ticket types and when
- Attendees: Names, contacts, and custom field answers
- Check-in: Scanned vs not scanned after doors
- Financial summaries: Revenue, fees, refunds for bookkeeping
Step 3: Filter before you download
Narrow by ticket type, status, or date when you only need VIP dietary lists or yesterday’s sales. Smaller files are easier to share safely with venues or caterers.
Step 4: Choose CSV for flexibility
CSV opens in Excel, Google Sheets, and most finance tools. Keep a dated filename (event-name-attendees-2026-08-11.csv) so versions do not collide.
Step 5: Protect personal data
- Share exports only with people who need them
- Prefer organisation roles over emailing spreadsheets to personal inboxes
- Delete local copies when the operational need ends
Step 6: Reconcile with Financials
After the event, match export totals to the financial dashboard and payout history. Investigate refund gaps before you close the month.
Useful report cadences
- Weekly on-sale: Sales by ticket type
- Day before doors: Full attendee + custom fields for catering
- Door backup: Printed or offline-friendly name list
- Week after: Check-in vs sold and financial export
Frequently asked questions
Can I export custom registration answers?
Yes—include them in attendee exports so ops teams do not re-collect data. See custom fields.
Is a PDF always available?
Use CSV as the reliable interchange format. If a PDF summary exists in your dashboard, treat it as presentation-friendly, not as your system of record.
Who should be allowed to export?
Managers and admins who understand GDPR basics—not every door volunteer.
